HR Assistant – Médecins Sans Frontières (MSF) – Nairobi, Kenya

Médecins Sans Frontières (MSF) is an independent international medical humanitarian organization providing assistance to people affected by armed conflicts, epidemics, natural disasters, and those excluded from access to healthcare. MSF France has been present in Kenya since 1996 and currently runs projects in Homa Bay and Mathare, with a coordination office in Nairobi supporting all MSF France projects in Kenya.

MSF France is seeking an HR Assistant to join their team in Nairobi. The successful candidate will report to the Deputy HR/Finance Coordinator and will be responsible for executing HR, finance, and administrative tasks to ensure legal compliance and smooth operations.

Main Purpose of the Position

To provide HR, finance, and administrative support in line with MSF procedures and legal requirements.

Tasks & Responsibilities

HR and Administrative Tasks

  • Prepare employment contracts and amendments in compliance with local labor and fiscal laws.
  • Update employee files with Social Security, Tax Office, and other relevant entities.
  • Draw up monthly pay slips and ensure accurate and timely payroll processing.
  • Orient new staff and ensure proper onboarding, including those on detachment.
  • Supervise cleaners and cooks, ensuring smooth operations of office support staff.
  • Manage stock and general administrative tasks.

Finance Tasks

  • Implement cash management procedures to ensure control, security, and availability of funds.
  • Prepare monthly treasury plans to cover daily needs, salary advances, and payroll.
  • Process supplier payments and maintain strict documentation control.
  • Handle VAT exemption documents and ensure timely processing.
  • Perform accounting tasks to ensure accurate financial records and expenditure control.

Specific Accountabilities

  • Update NSSF, NHIF, and PAYE declarations within given timeframes.
  • Act as a backup for the Finance Assistant when required.
  • Manage cash box operations, including cash payments and operational advances.

Qualifications & Requirements

Education:

  • Degree or diploma in Human Resource Management, Finance, or Accounting.

Experience:

  • At least two years of relevant work experience.
  • Previous experience with MSF or other NGOs in developing countries is desirable.

Languages:

  • Fluency in English and Kiswahili.

Knowledge:

  • Proficiency in Microsoft Office (Word, Excel) and internet usage.

Competencies:

  • Stress tolerance and management skills.
  • Leadership and team management abilities.
  • Ability to work with minimal supervision.

Additional Requirements:
