Médecins Sans Frontières (MSF) is an independent international medical humanitarian organization providing assistance to people affected by armed conflicts, epidemics, natural disasters, and those excluded from access to healthcare. MSF France has been present in Kenya since 1996 and currently runs projects in Homa Bay and Mathare, with a coordination office in Nairobi supporting all MSF France projects in Kenya.
Main Purpose of the Position
To execute administrative tasks and oversee project accountancy under the supervision of the Project Finance/HR Manager, ensuring legal compliance and strict control over monetary resources.
Tasks & Responsibilities
HR and Administrative Tasks:
- Prepare employment contracts and amendments in compliance with local labor and fiscal laws.
- Update employee files with Social Security, Tax Office, and other relevant entities.
- Enter and maintain data in the HR database and personal files.
- Draw up monthly pay slips and final pay slips/employment certificates at the end of contracts.
- Follow up on expiring rental contracts and inform the Administration Manager for timely renewals.
- Manage personnel files and update medical insurance coverage.
- Support staff induction, onboarding, and performance management processes.
- Assist in recruitment processes, including contacting applicants, organizing tests, and overseeing written exams.
Finance Tasks:
- Implement cash management procedures to ensure control, security, and availability of funds.
- Assist in the preparation of monthly treasury plans to cover daily needs, salary advances, and payroll.
- Process supplier payments and maintain strict documentation control.
- Carry out accounting tasks to ensure accurate financial records and expenditure control.
- Support the Administration Manager in translating documents and preparing for meetings when required.
Qualifications & Requirements:
Education:
- Essential: Degree or diploma in Human Resource Management, Finance, or Accounting.
Experience:
- Essential: At least two years of relevant work experience.
- Desirable: Experience with MSF or other NGOs in developing countries.
Languages:
- Fluent in English and Kiswahili.
Knowledge:
- Proficiency in Microsoft Office (Word, Excel) and internet usage.
Competencies:

- Leadership and team management abilities.
- Ability to work with minimal supervision.
Additional Requirements:
